FAQ
Here is a list of some common questions that we get in regards to booking weddings with Botega.
WEDDING CONTRACT // CANCelation POLICY
đź’Ť WEDDING SERVICES TERMS & POLICIES
1. Booking Confirmation & Deposit
Following your enquiry, a booking form will be provided for your selected date. Your date is not secured until the completed form has been returned.
A 50% non-refundable deposit is required at the six-week confirmation stage, at which point all services must be finalised. This deposit is allocated across all booked services and confirms your reservation.
Once received, deposits are strictly non-refundable in the event of cancellation.
Cancellations made within 48 hours of the scheduled appointment will incur 100% of the total service fee.
2. Service Finalisation (6-Week Lock)
All services are considered final and confirmed at the six-week mark prior to your wedding date.
After this point:
No amendments
No reductions
No removals
Should any individual service be cancelled after this time, including on the day of the event, the corresponding deposit for that service will be forfeited.
3. Pricing Policy
All pricing is based on the services confirmed at the time of booking.
For bookings made more than 12 months in advance or prior to the end of the calendar year, quoted pricing is provided as an estimate only and may not reflect final pricing for the year in which services take place.
Final pricing is confirmed at the six-week service lock, based on the agreed and finalised services.
Pricing will only be adjusted on the day if:
Additional services are added
Additional time is required beyond the allocated schedule
Which will be verbally discussed with the bride or planner before extra service etc are performed.
4. Artist Requests & Availability
You are welcome to request a specific artist for your wedding day. We will always do our utmost to accommodate your preference, subject to availability; however, specific artist assignment cannot be guaranteed.
Due to unforeseen circumstances, we reserve the right to change your assigned artist if required. In such cases, a replacement artist of equal skill and experience will be assigned, and you will not be left without an artist for your wedding day.
5. Booking Timeline
We accept bookings up to 12 months in advance.
For bookings made one year in advance, a minimum of 4 services is required to secure your date.
Elopements and intimate bookings (fewer than 4 services) may be reserved starting 4 months prior to the wedding date, subject to availability.
6. Service Timing
To ensure a smooth and efficient schedule:
Bridal hair: approx. 90 minutes
Bridal makeup: approx. 90 minutes
Bridal party hair and make up services: approx. 60 minutes per person
Timing is planned accordingly on the day based on your final service list.
If you have long, thick hair, extensions, or complex styling requests (e.g. Hollywood waves), additional time must be communicated in advance. We suggest services should be completed 60-75 minutes before ceremony time.
7. Schedule & Run Sheet Policy
Our booking system is designed to secure all requested services; however, a strict run sheet is not assigned in advance.
If you or your planner provide a schedule, we are happy to follow it where possible, provided it aligns with our service timing and structure.
To ensure efficiency on the day, all members of the bridal party must be ready at their allocated service time.
If delays occur, or individuals are not ready to begin on time, we may adjust the schedule as required and may not be able to strictly follow a pre-arranged run sheet in order to maintain service flow.
In some cases, we may proceed out of sequence or deviate from the original schedule due to operational requirements, timing constraints, or readiness of the bridal party.
If you are planning a first look, this must be communicated in advance so services can be scheduled accordingly.
8. Travel & On-Site Services
We offer on-location services at hotels and venues including Banff, Canmore, and surrounding areas.
Travel fees apply per artist and vary depending on location. Parking fees may also apply at certain venues.
For on-site services, the following is required:
Adequate space for styling services
Access to natural light where possible
Electrical outlets for tools and lighting
A chair for each service provider
Appointment confirmations may display our salon location; however, on-location services will always be honoured as agreed via email.
9. Preparation Requirements
Hair Preparation: Clean, Dry, and Ready
Please arrive on the morning of your wedding with clean, fully dry hair that has been brushed through. Depending on your hair type, you may choose to wash the day before or the morning of—hair should be no more than one day old. This is crucial, as oily or unwashed hair does not style well, and using heat tools on unclean hair can cause damage.
If your hair is not completely dry, an additional fee may apply.
For a blowout, please arrive with freshly washed, towel-dried damp hair.
For natural curls, diffuse or air-dry your hair within the same timeframe.
To avoid unwanted creases, please do not arrive with braids, ponytails, or buns.
Please use minimal product after washing—only heat protection or lightweight anti-frizz products if needed. All other styling products will be provided and carefully selected during your appointment to achieve a long-lasting, flawless look. While your hair may feel slightly more product-heavy than usual, rest assured it will never feel sticky—every product is chosen to ensure your style stays perfect throughout your day.
Makeup Preparation
Please arrive with clean, bare skin—no makeup. You may apply moisturizer and lip balm if needed. We recommend boosting your skincare routine in the month leading up to your wedding and drinking plenty of water to ensure your skin is healthy, radiant, and ready for makeup application.
10. Cancellation & Amendments
All services confirmed at the six-week mark are final and cannot be amended, reduced, or removed.
Should any individual service be cancelled after this time, including on the day of the event, the corresponding deposit for that service will be forfeited.
11. Additional Time & Delays
All services are scheduled within allocated timing to ensure a smooth experience.
If delays occur due to late readiness, interruptions, or additional styling time required, additional charges may apply for extended service time.
12. Service Timing Guidance
We recommend that all hair and makeup services are completed at least 60-75 minutes prior to your ceremony. This allows ample time to relax, get dressed, and enjoy meaningful pre-ceremony moments with your photographer.
For larger bridal parties, we recommend that the bride is not scheduled last for services. Being ready ahead of your photographer’s arrival ensures that portrait sessions can begin on time, even if the schedule runs slightly behind. While we always aim to maintain timing as planned, this structure helps support a smoother and more relaxed morning.
The final hours before the ceremony can be a busy time, and earlier completion of services helps reduce interruptions and supports a calm, enjoyable environment.
We are happy to coordinate timing with your photographer, planner, or venue coordinator where required to ensure the day flows as smoothly as possible.
While every effort is made to adhere to planned timing, minor adjustments may be required on the day due to readiness, service flow, or operational requirements.
13. General Terms
No discounts or promotional pricing are offered
All services are bespoke and individually priced
Timing and service order may be adjusted on the day for operational requirements
All services are guaranteed as booked, subject to the terms outlined above
14. When should I book my trial?
We recommend scheduling your trial as close to your wedding day as possible—ideally 10 days to 2 weeks prior—so we can capture the freshest look for your big day. That said, we understand that many of our clients are visiting from afar, and as a destination wedding location, you are welcome to schedule your trial whenever best suits your travel plans.
The trial is your time to play, experiment, and explore your vision. Hair trials are generously allocated 2 hours, allowing us to try 2 styles, while makeup trials are 1.5 hours to fine-tune your ideal look. Inspiration images are essential, so please bring anything that sparks your imagination—along with extensions, veils, or decorative hair accessories you plan to wear.
Please note that trials are designed to guide the final look and may not be perfectly executed that day—they are a creative experiment, not an exact replica. On your wedding day, we will refine and tweak your trial looks to create a more polished and flawless version, tailored to the unique energy, lighting, and magic of your special day. Small differences are part of the bespoke experience of being you on your most unforgettable day.
If you are using your trial for an engagement shoot please let us know ahead of time if you can!
15.Can we bring in "orange juice" to the salon?
If you choose to have your bridal party in the salon with you, we can accommodate everyone comfortably. We are happy to provide glasses for any “orange juice” or morning refreshments you may wish to enjoy. Additionally, wild flour coffee shop is conveniently located just across the courtyard from us, should you or your party wish to grab a specialty coffee or light snack.
16. Do you offer discounts for larger parties? or packages?
Unfortunately, we do not offer discounts, as all services are individually priced to reflect the bespoke care and attention each client receives.
If you would like an artist to remain on location for touch-ups between the ceremony, photos, and reception—or if you would like a second look for the reception—please don’t hesitate to enquire.
For any additional questions or clarifications, we are always happy to assist. Please feel free to reach out via email.
